Medical Staff Services (MSS) Announcement
Medical Staff Services (MSS) is pleased to announce the successful transition to our new database, MD Staff. We extend our heartfelt appreciation for your patience and understanding during the previous downtime and as we learn to navigate this new system.
MD Staff is designed to help automate processes within our department. As we become more familiar with the program, we will gradually automate more processes to enhance turnaround times, data entry accuracy, and overall efficiency. Please share the information below with your clinics/credentialing contacts.
Initial and Reappointment Applications
All Initial Applications & Reappointment Applications will now be processed through MD Staff for electronic completion and signature, eliminating the use of paper applications.
Initial Applications
o Requests for initial appointment applications should be directed to Heather McClellan, Supervisor Credentialing, at heather.mcclellan@providence.org.
o To expedite the process, please provide the applicant's CV, NPI, and best email address. Heather will assign an MSS Credentialer to the application, who will then send the application through MD Staff.
o The applicant will receive an email with a link to their MD Staff application. This link is only good for 24 hours/1 log in attempt.
o If a clinic manager or credentialing contact will assist with the application, please inform us at the time of the request so that we can include them in the notifications and add them as authorized users.
Reappointment Applications
o Each MSS Credentialer is responsible for sending reappointment emails for their respective divisions.
o We will send reappointment notifications to the email address we have on file for medical staff members.
o Please ensure that we have the most current and accurate email address to send your reappointment packets to.
o Reappointment notifications will continue to be sent out 5 to 6 months prior to your reappointment date, which aligns with your date of birth (DOB).
o Reminders will be sent every 30 days if the reappointment packet is not returned.
o These emails will include the link to your MD Staff application; this link is only good for 24 hours/1 log in attempt.
o Clinic managers and/or credentialing contacts will be added to reappointment applications if this information is on file with MSS.
Authorized Users
o Authorized users can assist with filling out the application/forms, uploading required/requested documentation, etc.
o Authorized users are not able to submit applications.
o The applicant/medical staff member must sign in to their portal to review and submit the application.
o By submitting the application, your electronic signature will be added to the packet.
o Only applicants or medical staff members can submit/sign the applications.
Tips and Important MD Staff Reminders
· Emails from MD Staff will come from: pnw.asm-noreply@providence.org.
o We recommend adding this email address to your contacts to ensure you receive your application packets.
· Applicant/medical staff members' emails will have the subject line: Providence Application/Appointment: MD-App - Begin Application for (Provider Name).
· Authorized Users emails will have the subject line: You are authorized for (Provider Name) application.
· Application links in MD Staff emails are only valid for 24 hours and 1 login attempt.
o If you are not able to login within the 24-hour timeframe or were unsuccessful, please contact the MMS Credentialer noted on the email to request a new email/link.
